2010 Guidelines:

Eligibility

Works of architecture located anywhere in the world by AIA New York State members and works of architecture located only in New York State by other New York State registered architects completed since January 1, 2005 are eligible. Each entrant may submit any number of entries.

  • Unbuilt - recognizes commissioned architectural design work by practicing emerging architects licensed 10 years or less, not yet built or complete.

The entrant must specify the category for each submission.

Submission Requirements: Binder, Digital Images, Concealed Information

Binder: Submit a soft cover binder, 8-1/2” x 11”, with clear sleeves. The project name and location, completion date, category, and a narrative description of the project must be submitted on a typewritten sheet placed in the first sleeve. In subsequent pages, insert site plan, floor plans, elevations and sections and up to 8 images of the project in 8”x10” color or black and white photographs showing exterior and interior views. All images must be saved as Jpegs or Tiffs. No other format will be accepted. All material is submitted at owner’s risk. No mounts or models shall be submitted for judgment. Please note that AIANYS does not provide binders.

Checklist:
The AIANYS Design Awards checklist must be attached to the front cover of the binder. This checklist is included in the brochure mailed to all members or can be downloaded from the brochure posted at the top of this page.

Project Questions:
Indicate separate responses to the following questions in MS Word format on the project’s CD:
What were you asked to do by the client?
What were the agreed-upon goals of the project?

How did the completed project address these goals?
How did you address the design problem(s)?
How does the architecture of your project affect the community?

Narrative Description: Include the narrative in MS Word format on the project’s CD.  The narrative should be a description of your project and should be approximately 500 words.

CD/Digital Images And Photo Releases: AIANYS also requires a CD (PC compatible only) labeled by project name with images and information matching exactly and in the same order as that of the hard copy portfolio as indicated above. We cannot accept floppy disks, zip disks or e-mail submissions. Multiple submissions can be on one CD in separate folders. Images must be saved as Jpgs. or Tiffs only. Photos embedded in a Word document cannot be accepted.  AIANYS may resize images to meet publication needs, but will not alter or modify the images. Please indicate which one image you want to be used for publicity and the up to six images that may be used during the multi media design awards presentation. (This image may be different than the one used for publicity) The photo release must be filled out for all images if they are different.  The photo release can be downloaded from the brochure posted at the top of this page.

Concealed Information: Material submitted in portfolio and in digital images should not reveal the name of the Architect(s). The last clear sleeve shall contain a blank sealed envelope containing entrant’s letterhead with typed identification of the architect(s), city and state of architect, and full design and construction credits listed in the manner desired to appear on a citation or photo caption. Credits listed must include name and address of all design firm(s) and persons substantially contributing to the design of the project; client’s name; contractor’s and/or construction manager’s name(s); firm name and address of consultant(s); and project’s name and location and photo credits.  By submitting a project for consideration, the submitting architect represents and warrants to AIA New York State that he or she has provided a complete list of all those substantially contributing to the design of the project. Failure to provide a complete list may result in disqualification and/or a referral of the matter to the appropriate ethics body of the national office of the AIA. The AIANYS accepts no responsibility for incomplete lists. Also include this information in MS Word format on the project’s CD.

If any of the submission requirements are not met at time of submission, the portfolio will be disqualified.

Awards Presentation:Presentation of Awards will be made at the AIANYS Design Awards Dinner on October 15,2010. The 2010 presentation will be at the Hyatt Hotel in Buffalo, NY. Awarded projects design boards will be exhibited during the Convention. Award recipients will be requested to prepare a 36" high x 24" wide mount for display. Award recipients must assume all responsibility for delivering mounts to the Convention hotel. Mounts, slides and digital images will be retained by AIA New York State for display at other events during the year.  Recipients will also be featured in the Design Awards Book sent to all AIANYS members.

Publicity: The AIA New York State public relations campaign makes every effort to promote the Design Awards each year. The drawings, photographs, and digital images of each winning project will be used for unrestricted publicity. Each entrant must clear all drawings, photographs, and digital images included in submission for future re-use and reproduction by the AIA New York State.

Return of Material:Binders will not be returned unless a pre-paid, selfaddressed container is included with submission. We recommend using Express Mail, Federal Express, UPS or similar service to insure timely delivery.

Cancellation Policy: Design Award Entry(ies) may be cancelled up to 5:00 p.m., June 14, 2010, less a $50.00 administration fee. All cancellation and refund requests must be in writing or emailed to mgershman@aianys.org  .
